How to Build Adjuster Relationships That Speed Up Claim Approvals
Supplement approval speed is directly tied to your adjuster relationships. The same supplement that takes one shop 5 days to approve gets approved in 24 hours for another. The difference isn't the supplement, it's the relationship.
Why Adjuster Relationships Matter More Than You Think
"Adjusters don't prioritize shops they like. They prioritize shops that make their job easier. Complete documentation, clear communication, and professional follow-up."
An insurance adjuster is assigned a caseload, and your claim is one open file in it. They're overworked, underpaid, and dealing with shops who send them incomplete documentation, argumentative phone calls, and unreasonable expectations. When your supplement arrives, it goes into a queue. Where it lands in that queue, and how quickly it gets processed, depends largely on how the adjuster feels about working with your shop. This isn't about being liked. It's about being easy to work with. Shops that send complete, well-documented, professionally presented supplements get faster approvals because they're less work for the adjuster.
What Adjusters Actually Want From You
Complete documentation on first submission, Photos of every item being requested. Clear descriptions. OEM procedure references where applicable. The adjuster shouldn't need to call you for clarification.
Professional estimates, Formatted correctly, using proper labor operations, correct part types, and accurate pricing. Sloppy estimates signal a sloppy shop.
Reasonable requests, Request what's needed for a proper repair. Not every claim needs every possible operation. Adjusters remember shops that over-write estimates, and they scrutinize future submissions more heavily.
Timely responses, When they ask for additional photos or information, respond the same day. Their claim has a timeline too. Delays from your side create delays for them.
Respectful disagreement, Disagreements happen. Handle them with documentation and professionalism, not anger and accusations. You can be firm without being hostile.
Key Insight
Ask your top 3 adjusters: "What's one thing we could improve about our supplement submissions?" You'll get specific, actionable feedback that applies to every claim.
Building the Relationship
Learn names and use them, "Hi Sarah, this is Mike from ABC Collision regarding claim 12345" is a person calling. "This is the shop calling about that claim" is an anonymous interruption.
Be consistent, Same format for every supplement. Same quality of documentation. Same communication style. Consistency builds trust because the adjuster knows what to expect.
Acknowledge their constraints, Adjusters have authority limits, supervisor approval requirements, and program guidelines. Understanding their constraints helps you submit requests within their approval authority, which means faster decisions.
Follow up, don't nag, One follow-up call after 48 hours is appropriate. Calling every day is counterproductive. Trust that a well-documented supplement will be processed.
Say thank you, When an approval comes through quickly, a brief "Thanks for the quick turnaround, Sarah" goes further than you'd expect. Adjusters rarely hear appreciation.
Handling Adjuster Denials
Understand the denial basis, Is it a documentation issue? A pricing disagreement? A procedure dispute? An authority limit? Each requires a different response.
Respond with documentation, not emotion, If a repair procedure is denied, provide OEM repair procedures that support your position. If a part type is disputed, provide manufacturer justification. Facts resolve disputes faster than feelings.
Escalate appropriately, If you and the field adjuster can't agree, ask to speak with their supervisor or request a reinspection. This is professional, not confrontational.
Know when to accept, Not every battle is worth fighting. A $50 operation dispute isn't worth 2 hours of argument and a damaged relationship. Save your credibility for the items that truly matter.
Getting Started
This week, review your last 5 supplement submissions. Were they complete on first submission? Did they include photos of every item? Were labor operations correct? Then reach out to one adjuster you work with frequently and ask for feedback. One conversation can transform the speed of every future interaction.
